Wingform subscriptions are managed at the workspace/company level. A subscription gives users access to paid features through seats assigned under the company’s plan.
How Subscriptions Work
Each workspace (broker, corporate or individual) has one active subscription that covers the company workspace and its representatives.
The subscription is connected to the company’s Authorized Executive workspace, but other users in the company may access the plan through assigned seats.
A seat gives a specific user access to the features included in the company’s plan.
The Authorized Executive receives a seat automatically. Representatives may receive seats when they accept an invitation, depending on the plan’s seat capacity.
Plans and Seats
Each plan includes a different number of seats, concurrent transactions, and features.

If a plan does not have enough seats, additional representatives may still join the workspace, but they may not have access to paid features until a seat becomes available or the plan is upgraded.
Who Can Manage a Subscription?
Subscription management depends on your workspace role.

An Admin Representative can manage the company subscription on behalf of the company.
If an Admin Representative purchases or upgrades a plan, their payment card may be charged, but the subscription remains the company’s subscription. The admin is recorded as the purchaser for future subscription management.
Free Subscription After Signup
When you sign up and create your own workspace, Wingform automatically creates a Free subscription for that workspace.
The Free plan allows you to start using basic Wingform features.
If you join Wingform through an invitation to another company, you usually join that company’s subscription through a seat instead of creating a separate paid subscription for yourself.
Inviting Representatives and Seat Assignment
Authorized Executives and Admin Representatives can invite representatives to a company workspace.
When a representative accepts the invitation, Wingform attempts to assign them a seat under the company’s active subscription.
If seats are available, the representative receives access to the plan’s paid features.
If the plan is already full, the representative may still join the company workspace, but paid features will not be available to them until:
the company upgrades to a plan with more seats;
another user’s seat is revoked;
the company moves to an Enterprise plan.
Buying a Paid Plan
You can buy a paid plan from the Subscriptions page.
To buy a plan:
Open the Subscriptions page.
Select the plan.
Click Subscribe.
Complete payment through Stripe.
Return to Wingform after payment confirmation.
Once payment is confirmed, the subscription becomes active and seats are assigned according to the selected plan.
Admin Representatives can also buy a plan for the company they administer. In that case, the subscription belongs to the company, even if the admin’s own card is used for payment.
Upgrading or Downgrading a Plan
Authorized Executives and Admin Representatives can change the company’s plan.
To change a plan:
Open the company subscription.
Choose the new plan.
Click Select plan.
Complete the Stripe checkout process.
Return to Wingform after confirmation.
When a plan changes, Wingform migrates current seat holders to the new subscription where possible.
If the new plan has fewer seats than the current number of seated users, some users may lose paid-feature access. Wingform prioritizes keeping existing seat holders where possible, but users added most recently may be removed from seats first.
Before downgrading, check whether the new plan has enough seats for your team.
Cancelling a Subscription
Authorized Executives and Admin Representatives can cancel a subscription.
If you cancel a paid subscription while paid time remains, the subscription stays active until the end of the billing period. Users keep paid features until that date.
After the paid period ends, the subscription automatically returns to the Free plan.
If the subscription is cancelled during a trial or without remaining paid time, the cancellation may take effect immediately and paid seats may be revoked.
You can buy a new paid plan later if you want to restore paid access.
Checklist Before Buying or Changing a Plan
Before buying, upgrading, or downgrading, check:
Workspace — make sure you are managing the correct company workspace.
Plan — review the features included in the plan.
Seats — confirm the plan has enough seats for your team.
Downgrade impact — check whether any users may lose paid-feature access.
Billing authority — make sure the person paying is authorized to manage the company subscription.
Common Questions
I bought a plan, but my representatives still see Free features. Why?
The most common reason is that they do not have assigned seats.
Check whether your plan has enough seats. If the plan is full, upgrade the plan or free an existing seat.
A representative accepted an invitation but does not see paid features. Why?
They may have joined the workspace without receiving a seat because the plan is full.
I cancelled, but the plan still looks active. Is that wrong?
Not necessarily. If you had paid time remaining, the plan stays active until the end of the billing period. Wingform should show the cancellation date.
Can an Admin Representative upgrade the company plan?
Yes. An Admin Representative can upgrade or cancel the company subscription. If the admin pays, their card is charged, but the subscription remains connected to the company.
What happens if I downgrade to a plan with fewer seats?
Some users may lose access to paid features if the new plan does not have enough seats. Before downgrading, check the number of active users who need paid access. If the number exceeds seats in desired plan, you will need to revoke exceeding seats
Can regular representatives manage subscriptions?
No.
Regular representatives may view subscription information if they have a seat, but they cannot buy, upgrade, downgrade, or cancel a plan.
